Together Films are looking for a Project Coordinator to help plan impactful film events and tours across the U.S.
Location: Remote working, U.S. based (EST). Please let us know your location and any flexible work requests upon application. This role will include some travel across the U.S.
Term: Six month fixed term contract.
Salary: $40,000 – $55,000 (U.S.) per annum pro rata.

Hours: 40 hours per week. Out-of-hours work and travel on evenings and weekends may be required.

Job Role
Together Films is looking for a project coordinator to manage logistics for film campaigns, events and screening tours. If you are passionate about the intersection of film and social impact, we would love to hear from you. Your success in the role will drive a direct and positive influence on homelessness, education, human rights, the climate crisis and other urgent world issues.
Working alongside Together Films’ clients, which include filmmakers, organizations, brands, and festivals, you will help to organize impact screenings and events that fulfil the goals of the client and support the wider impact campaign for the film.
You will prep Client agendas; take part in and minute Client calls; provide weekly reports; email updates to stakeholders with minimal supervision, with a view to coaching and training you to manage clients on your own. We’re looking for someone who has extremely good interpersonal skills and knows how to manage up, and go above and beyond expectations.
You will also work with:
- The Marketing Team to ensure there is a strong audience outreach plan and design materials in place.
- The Strategy Team to ensure the tour is delivering on the impact goals laid out in the campaign strategy and to input evaluation data into our CRM and match against benchmarks.
Job Duties & Responsibilities
- Coordinate impact film tours, including logistics, scheduling, and task assignment to other departments.
- Research, book and coordinate travel, lodging and transportation for key internal and external event attendees.
- Liaise with marketing teams to ensure consistency in messaging and branding during events.
- Develop and manage timelines and project schedules.
- Work closely with filmmakers, impact stakeholders and venues to confirm participation and details of each event.
- Coordinate with vendors for travel, lodging, transportation, and other event-related services.
- Monitor event budgets and ensure that expenditures remain within agreed limits.
- Draft run of show documents and process documents.
- Attend and support production efforts at events when requested.
- Manage post-event wrap-up including feedback collection, reporting, event write-up for the website and future pitch documents, and debriefing with stakeholders.
- Handle unforeseen issues and emergencies professionally and efficiently.
- Maintain clear and consistent communication with all team members and stakeholders involved in the impact campaign.
Requirements:
- Bachelor’s degree in Event Management, Communications, Business Administrator or related field.
- Proven experience as a project coordinator or similar role, specifically within the film and entertainment industry, or in an impact or charitable role.
- Strong organizational and multitasking skills. You must love spreadsheets and systems.
- Proficient in project management software (e.g., ClickUp, Google Suite).
- Ability to work under pressure and adapt to changing environments.
- Excellent verbal and written communication skills.
- Willingness to travel as required by the event/tour schedule, proximity to an aiport is necessary.
Software Knowledge:
- Project management/collaboration platforms – ClickUp, Asana, Trello, Favro or similar.
- CRM platforms – Salesforce, Zoho, Airtable or similar.
- Google Suite – Docs, Sheets, Drive.
- Digital Event tools – Zoom, CrowdCast, Streamyard.
